Board Meeting Minutes
Monday, 11 March 2009
American Gothic House Center, Eldon, IA

  1. Roll Call:

All present:  Jeffrey, Coffman, Siegel, Parker, and Baker

Also present:  Jessica Strom

  1. Agenda items to add and/or delete
    1. Add RAGBRAI to new Business

Motion to Approve Agenda.

Motion:  Baker moved to approve the agenda with the above addition.                                                                 Seconded by Siegel.  All in favor.  Passed.

  1. Minutes from January, 2009 meeting.

Coffman read the previous meeting minutes
Motion: Parker moved to approve the minutes as presented.
Seconded by Siegel.
All in favor.   Passed.

Old Business:

  1. Long Range Plans.

Revised issue to be presented next month.

  1. AGHC Membership.

Tabled due to current economic conditions.

New Business:

  1. Election of Officers

Chair:
Motion:  Parker moved to appoint Coffman as Chairperson.
Seconded by Jeffrey.  All in favor.  Passed.

            Secretary:
Motion:  Parker moved to appoint Baker as Secretary.
Seconded by Coffman.  All in favor.  Passed.

  1. 28E Biennial Report and our Legal Name.

The current 28E Agreement shows the legal name as American Gothic Welcome Center.  It is always referred to as the American Gothic House Center.
Motion:  Siegel moved to change the name of the American Gothic Welcome Center to American Gothic House Center to be presented on the biennial 28E Agreement report that will be submitted to the Auditor.
Seconded by Parker.  All in favor.  Passed.

  1. Publication of Board Minutes.

According to House File 808, reporting board minutes is not necessary when budgets are under $100,000.
Motion:  Siegel moved to not publish board meeting minutes as the law             states. 
Seconded by Baker.  All in favor.  Passed.

  1. Set up of a Web E-Commerce Account

An option is to set up a cart system for online purchases.  Credit card payments will then be entered manually.  Shipping costs would be a $10 flat rate or less on smaller items.
Motion:  Siegel moved to have Strom continue looking into e-commerce.
Seconded by Parker.  All in favor. Passed.

  1. On-line Gift Shop Selection Policy

Currently, only American Gothic theme items will be listed for sale.  No consignment items will be listed until inventory from vendor is known and how well the item(s) relates to mission.

  1. Gift Shop Policy for Returns and Exchanges

Merchandise, except sale items, can be returned within 30 days if in original condition and packaging and accompanied by a sales receipt.  Cash and check purchases will be issued as in store credit with credit card purchases credited back to card used to purchase.
Motion:  Parker moved to adopt the Gift Shop Returns and Exchanges as                                    presented.
Seconded by Jeffrey.  All in favor.  Passed.

  1. Alliant Energy Grant

A grant for $500 has been completed for the development of a new exhibit.

  1. Alliant Energy Tax Refund

Sales tax paid during the course of the past year will be reimbursed.

Staff Report

  1. AGHC has been nominated for a 30 minute WHO –TV show entitled “The Official Best Of” program.  The cost to become eligible is $3500 resulting in no interest by the board.
  1. Eldon City Council approved to setup a storage shed.  Strom will research builders and costs.
  1. Two, thirty passenger buses have been reserved for the trip to Des Moines to view the American Gothic Painting.  To date, 40 reservations have been made.
  1. RAGBRAI.  Siegel suggested having an AGHC booth set up at either Dahlonega or Bridgeview.  This would serve as a fundraiser with photos taken for a fee of $5.00 and to distribute information.

Motion:  Siegel moved to have Strom look at options for a booth.
Seconded by Parker.  All in favor.  Passed.

Seconded by Jeffrey.  All in favor.  Adjourned at 7:13 p.m.
